Acts as Community Engagement Specialist to the department of Community Engagement (Continuing Education, Marketing, Campus Events, Youth Programs). Performs a wide variety of complex, highly responsible administrative duties of an administrative nature for the department.
Participates in the work of the department such as interviewing office visitors, securing details of specialized information and providing information regarding the services or operation of the department.
Serves as room reservation specialist for the College.
Assist with coordinating Continuing Education courses (work orders, contracts, course signage, purchasing of supplies, certificates, registration system, invoicing).
Serve as liaison with college departments and community partners to ensure positive working relationships.
Support College events and activities.
Processes routine matters within established systems and policies.
Completes special projects and technical assignments as delegated by supervisor and department staff.
Manage work orders, agreements, and spreadsheets for all campus events, and assist as needed
Researches and assembles information on various issues for supervisor’s use.
Prepares materials, records minutes, and transcribes minutes for department meetings.
Performs travel arrangements for department.
Compiles and analyzes complex data for administrative decisions. Maintains detailed statistical records of department to which assigned.
Assists in the preparation of departmental budgets.
Interprets established policy and provides the information for the resolution of departmental issues. Provides liaison with other departments and public representing the administrator when requested. Conducts research and prepares reports.
Create and process purchase order/requisitions and quotes for materials, equipment and office supplies for the department.
Organize and maintains files related to the upkeep and maintenance of all subject matter pertaining to the respective office. Files letters, reports and related technical information in a prescribed manner.
Maintain an electronic calendar of appointments, meetings and events for the supervisor and staff. Advises supervisor of important meetings.
Receives and screen callers. Refers callers to other employees, officials or departments as needed.
